Absence and Attendance Guidance

Reporting Absences

Please can all parents and carers contact the College DAILY and before 8.15am should their child be absent, even for prolonged absences.

Please report absence by emailing your child's applicable year attendance team and include your child's full name, tutor group and the concise reason for absence.

Students who have been absent because of sickness and diarrhoea should return to college no earlier than 48 hours after their last episode.

Parents are legally responsible for ensuring their child's attendance at college.

Unwell at College / Medical Appointments

It is vital that parents/carers complete the data collection form sent from college at the start of each academic year, so that we know who we should contact in case of emergency. Students must tell a member of staff that they are feeling unwell. Students who are genuinely unwell will be cared for by a college First Aider. If the student needs to go home, parents/carers will be asked to come into college to collect the student from either the Green Close or Gipsy Lane Reception. We will give you details of this when calling home.

Please Note: We are not permitted to let children leave the College unaccompanied if unwell.

A parent or nominated adult from the student's contact list must collect the unwell child. Should no-one be available from the contact list, then another person over 18 can collect the student, but we must receive written permission by email stating the full name of the collecting adult, full name of the student and tutor group and that you explicitly, as a parent, give permission for them to be collected by this adult.

Medical Appointments during College time

Please notify us of any medical appointments by emailing your request to the applicable attendance email (details at the top of this page) with details of the appointment, full student name and tutor group, time and place of collection from school, e.g. Green Close or Gipsy Lane Reception.

Please enter a short message in the Student Homework Planner for the class teacher and ensure that your child is aware of the collection time and place and makes their way to the applicable Reception independently.

We appreciate that emergency appointments are received on the same day which omits prior notification, and we will do our best to notify your child of the appointment and collection, but due to the size of our college, this may not always be possible.

Medication in School

Medication in School

If your child needs to bring medication into school, please complete the Parental Agreement for the Academy to Administer Medicine. Click here. All medication must be handed in at Reception before registration and will be securely transferred to the First Aid Office for safe keeping. Students are not permitted to carry medication with them during the school day.

Non‑Prescription Medication

For students under 16, only paracetamol may be administered, and only when written parental consent has been provided. We are unable to give Aspirin, Ibuprofen, or any medication containing these ingredients unless it has been prescribed by a doctor or supported by a medical recommendation letter.

Regular or Emergency Medication

Students who require medication on a regular basis must have it stored in the First Aid Office, where it will be kept securely. Epi‑pens and inhalers may be carried by students only with prior written permission.

Students may visit the First Aid Office whenever medication needs to be administered.

Parents and carers of children with medical conditions will be asked to review and confirm their child’s medical information at least once a year.

Supporting your child's attendance

Good attendance habits are best started early. Children learn from those around them and you, as parents/carers, set the standards and expectations for them. Showing your child the importance of attending school every day not only helps your child to settle down when starting school but helps them to keep and maintain friendships and enjoy the school environment.

Absence requests during term time

Unfortunately, we are only able to authorise exceptional circumstances for absence requests. This is a legal requirement for all schools. We are unable to authorise any requests for holiday during term time, including Activities Week. If an absence is taken without authorisation by the College, this will lead to further action by the Education Welfare Service and could incur a fine (please see the bottom of this page for further information around unauthorised absences). We would therefore encourage you to communicate closely with us if you do need to apply for an exceptional absence. Request forms for exceptional absence can be collected from the Key Stage offices or can be downloaded below.

S2 forms should be submitted at least three weeks in advance of the absence request period to guarantee they are processed on time. If you send an email request, we will not process this unless you have filled in the Devon S2 Absence Request Form (at the bottom of this page). Completed electronic S2 forms must be emailed to the year group attendance your child is in.

Using class charts to monitor your child's attendance 

In order to fully keep track of your child’s attendance, rewards, behaviour, homework, timetable, college announcements and other important information, please download the ClassCharts parent & carer app. Parent and student access codes will be automatically issued to parents at the point of students joining Year 7 but can also be obtained at a later stage by emailing our BromCom Team.

Students will need to download the student app and request an access code to receive key information and homework assignments. Please note that some features referenced in the guide are not currently used by the College and are not available to parents/students. 

Child employment and work permits
